This policy explains how Herens processes personal data when you use the website, project diagnosis, CRM follow-up, Google booking and AI Concierge.

What do we process?
- Enquiries and diagnosis: contact details, company, role and project answers to respond, qualify the request and prepare a consultation.
- Bookings: information provided through Google Calendar to organise the meeting, send confirmation, a Meet link and reminders.
- AI Concierge: messages sent to the OpenAI API to generate a response; conversation content is not stored in the Herens CRM.
- Analytics: pseudonymous journey events only after analytics consent; form content and email addresses are excluded.
- Projects: contractual, communication and delivery information needed to perform and document the engagement.
Legal bases include consent, steps requested before a contract, contract performance, legal obligations and legitimate interests such as security and claim defence, as applicable.
How long?
- analytics events: up to 26 months;
- AI abuse-prevention session hash: up to 48 hours;
- unconverted enquiries: until handling ends, consent is withdrawn or a valid objection is made, then only as needed for claims;
- contracts and projects: during cooperation and statutory accounting, tax and limitation periods;
- Google booking and email: according to account settings and the time needed to organise and document the meeting.
You remain in control.
Subject to the GDPR, you may request access, a copy, rectification, erasure, restriction and portability; object to legitimate-interest processing; and withdraw consent without affecting earlier lawful processing.
